Based in New York City and reporting to the Executive Director for Advancement, the Coordinator will provide support for events and the overall administrative support to the Executive Director and New York City based Advancement and External Affairs team including major gift officers and alumni engagement as directed by the Executive Director.

The position holds primary responsible for reconciling business expenses, budget reporting, citrus data base entry, retrievals and reporting, as well as event support. Additional responsibilities include scheduling, coordinating gift proposals and reports, maintaining office supplies, and making travel arrangements. She/ He is a direct interface to publics and constituents via management of inquiries, follow-up, scheduling, campus partners /units and on-site event support which may include evening and weekend hours.

This position is located at Lubin House, Syracuse University’s home base for New York City operations, at East 61st Street in Manhattan.

Bachelor’s Degree preferred or equivalent combination of education and experience. 3+ years office operations, higher education, and/or development experience preferred.

Excellent and very strong attention to detail and ability to multi-task.

Strong written, verbal and interpersonal communication skills.

Professional or lived experience in the NYC tri-state region is preferred.

A valid driver’s license is required.

Ability to carefully craft documents and proofread them for both accuracy and consistency.
Strong computer skills including basic and advanced functions in Microsoft Outlook, Excel, Word.

Skill to contribute as a team player in a respectful and professional environment.

Ability to work weekends and nights as necessary for programs.

Efficiency in keeping accurate records of meetings, events, budget, and expenses.

On time delivery of briefings, reports, and presentations.

Ability and willingness to learn new online systems including Encompass, CITRUS and other platforms.

Experience or genuine interest in higher education advancement.

Prepare and submit all financial reimbursements, reconcile credit card statements for unit staff, update and submit monthly budget reports for the department. Maintain office supplies and collateral materials for development staff. Assist with scheduling and travel arrangements for NYC based advancement team and reconcile related travel expense reports.

Provide logistical support for advancement and engagement events in the NYC Metro area. This includes but is not limited to; list generation, drafting electronic invitations, creating event briefings, registration pages and coordinating printing with campus partners, mailing invites, tracking, and following up on rsvp’s, creating name tags and other day-of-event related administrative work. This may include providing in-person support, logistics and support for virtual programs. This may include nights, weekends, and non-business hours.

Utilize and maintain proficiency of the CITRUS database to build events and track event attendance, participation, and interactions. Assist with Citrus data entry, retrievals, and reporting. Support our prospect research team to increase viable major gift prospect leads. Use CITRUS to pull the giving list for the market multiple times per week to provide leads to gift officers. May also include direct outreach to thank donors, solicit annual gifts, schedule donor meetings for gift officers or personalized event outreach.

Create, maintain, and deliver communication processes and systems to 1) coordinate NYC advancement team's interaction with on campus partners to ensure processes are followed and information needed is received and utilized to support fundraising activities 2) implement a region-wide fundraising calendar to ensure awareness of fundraising activities. Coordinate the scheduling of solicitations, invitations, and other forms of communication to ensure a coordinated approach to moves management.

Assist with and coordinate outreach letters and emails, meeting briefings, gift proposals, donor reports, and additional correspondence as needed. Maintain accurate files relating to donors, donor prospects, event planning, and related activities.
